About the Role:
Reporting to the Operations Coordinator and working closely with the wider admin team, you will undertake general administrative activities which support the day-to-day operational effectiveness of the school.

Your expert organisational skills will enable you to manage a busy calendar of student, staff and industry events while ensuring our online and in-house operations run smoothly.

Your responsibilities will include:

  • General administration & operations
  • Be customer facing, supporting HDR students, academic staff and other school staff and stakeholders with their queries; accepting mail and responding to other front desk enquiries as required.
  • Share in school mailbox and other shared inbox management; order stationery, kitchen supplies and teaching consumables.
  • Coordinate IT-equipment leasing and keep an accurate asset register.
  • Undertake other activities which the incumbent might reasonably be expected to do, and which are consistent with the accountabilities and responsibilities of the role.

  • Event coordination & support

  • Plan and deliver school-based awards nights, final-year presentations, end-of-year celebrations and graduation photo shoots.
  • Provide logistical and minute-taking support to the Industrial Advisory Committee and other meetings.
  • Liaise with academic leads to stage Diversity, Inclusion and Belonging (DIB) initiatives (e.g. International Women’s Day), industry showcases and student engagement activities.

  • Marketing & communications

  • Refresh content for the school website
  • Curate social-media posts in partnership with the Faculty Social Media Officer to maintain a vibrant, consistent online presence.
  • Assist with travel bookings, reimbursements and procurement for teaching and honours-level research laboratories.

Who we are looking for (Selection Criteria):
Essential Criteria:

  • A diploma in a related field and considerable relevant work experience, OR an equivalent combination of experience and education/training.

  • Proven ability to run the full administrative life-cycle of a busy work area, including events.

  • Advanced Microsoft 365 skills and confidence with online content-management systems.

  • Demonstrated organisational skills with the ability to manage multiple and often competing tasks with attention to accuracy and detail within deadlines.

  • Excellent written and verbal communication skills with well-developed cross-cultural sensitivity and diplomacy.

  • Sound judgement and demonstrable problem-solving skills, with the ability to use discretion and knowledge to determine appropriate actions.

  • Demonstrated ability to work independently and effectively as part of a team.Desirable:

  • Previous experience in a university environment.Role Requirements:

  • As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered
