About the Role

This role plays a pivotal part in the planning and coordination of civil construction projects, supporting the operations, sales, and compliance teams to ensure smooth project delivery. You will be responsible for end-to-end project administration, assisting in site coordination, stakeholder communication, document control, and general project support for a team of over 40 field staff across multiple worksites.

Job tasks and key responsibilities

  • Ensure all works are executed in accordance with legislative, safety, and client requirements.
  • Coordinate and monitor project schedules, resources, and budgets.
  • Assist with project planning, implementation, and post-project review.
  • Conduct site inspections and visits as needed to assess progress and compliance.
  • Liaise with clients, subcontractors, and suppliers to confirm job requirements and quality outcomes.
  • Coordinate weekly planning with supervisors and managers, including resource allocation and operator rosters.
  • Monitor operator downtime/unbillables and liaise with mechanics to ensure the maintenance schedule is followed.
  • Manage all incoming job bookings and track project progress using internal systems.
  • Prepare and maintain project documentation including work orders, purchase orders, and safety records.
  • Support management in delivering staff training on select projects and maintain records of toolbox meetings.
  • Provide quotes and assist in tender submissions as required.
  • Participate in project meetings and communicate progress updates to stakeholders.

Skills and experience required

  • Qualification in Construction Management, Project Management, or a related discipline (preferred but not mandatory).
  • Demonstrated experience in project coordination or administration within the construction or civil industry.
  • Strong time management, multitasking, and organisational skills in fast-paced environments.
  • Strong attention to detail and commitment to safety and quality standards.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to work independently and collaboratively with various departments.
  • Competency in project management software and Microsoft Office Suite.
  • Scheduling and workflow management experience is advantageous.
